Wedding photographer workflow
Proofing, client portal access, gallery approval, and print albums after client sign-off on ArtInStack.
Architectural alignment
Wedding work breaks when proofing, approvals, and print sales live in different systems. ArtInStack keeps Media and Portfolio as the source of truth, uses Portal Manager for the couple’s branded room, and routes approved selections into Products—including album and print flows you configure in the dashboard. You can sell packages (collections of deliverables) while still controlling who may download and when print orders unlock.
The couple sees one familiar portal; your studio sees orders and approval state in the same workspace you use for marketing pages.
Required module configuration
| Area | Why you need it | Notes |
|---|---|---|
| Media + Portfolio | Session masters and proofing collections | Privacy and download rules per gallery |
| Portal Manager | Invitations, client identity, portal widgets | “Invite Client” creates scoped access |
| Products | Wedding packages, prints, albums | Link portal access or gallery grants to what they purchased |
| Pages | Brand, pricing, booking CTAs | Optional engagement landing pages |
| Gallery approval (client portal) | Favorites and selects before print | Clients with gallery access use the portal proofing experience |
| Orders (dashboard) | Track print jobs after approval | Appears when commerce is connected |
Team module is optional for a second shooter with Projects access. Plan must include team and/or education paths that unlock Portal Manager—confirm on Plans and limits.
Step-by-step implementation blueprint
- Portfolio — Create a “proofing” collection for the wedding; set downloads and privacy for client review (usually view-first, not full-resolution delivery).
- Portal Manager → Invite Client — Send access tied to that gallery (or a package product they will buy).
- Confirm the client opens the verification link and sees the gallery section with selection/favorites (not only a passive slideshow).
- Products — Create a wedding package product (digital collection, print credit, or album template) and link what the purchase unlocks in portal access.
- When the couple finishes selections, review approvals in your dashboard workflow and move winners to a print or album product.
- Products — Configure a photo book / album or print SKU; complete a test order in Stripe test mode to see fulfillment messaging.
- Pages — Publish a short “How we deliver” page linked from your main menu.
- After client sign-off, place or instruct the client to place the print order from the entitled portal or product link.

Verification framework
- Test client can sign in to the portal and access the proofing gallery.
- Favorites or selections record against the correct collection.
- Package product checkout grants the access you expect (gallery, downloads, or both).
- Album/print product can be ordered only after approval policy you described to the client.
- You can find the order in dashboard commerce views before announcing go-live.
