View and edit media in the library

Edit titles, captions, descriptions, EXIF, and map location for files in ArtInStack Media.

Open any ready item in Media to review the preview, edit text fields, read camera metadata, and set map coordinates. This is your global source of truth for each file—Portfolio collections can override text for a specific gallery without changing the library copy.

Prerequisites

Dashboard → Media → click a thumbnail (status ready)

What you're looking at

Preview — large image, or a video still (poster frame) once transcoding has finished. While a video is still encoding, the preview may be empty or generic until the thumbnail is ready.

Read-only metadata — EXIF and embedded GPS when extracted on upload (photos only; hidden when nothing was found).

Saved location — badge when coordinates were set manually or imported (not overwritten by EXIF).

Set location on map — add or adjust latitude/longitude and observation date (photos only; not available for videos).

Editable fields: Title, Caption, Description, License type.

  • Edit global copy in Media once, then reuse the file in many places.
  • Open Portfolio → collection → edit an image when that job needs different wording (proofing vs marketing).
  • Portfolio title / caption / description do not delete or replace library values—they apply only in that collection’s context.

EXIF and location in the edit panel

Read-only metadata can include camera make/model, exposure, dimensions, latitude/longitude from EXIF, and observation date derived from capture time.

When EXIF or metadata does not appear

Implementation steps

  1. Open Media and click a ready photo.
  2. Set Title, Caption, and Description for the global defaults.
  3. Review Read-only metadata; if GPS is missing, click Set location on map.
  4. Save changes.
  5. Optional: open Portfolio → same image → add collection-specific caption or title override.
  6. Optional: publish a page with an Impact map block (see Add an Impact map to a page) after the portfolio has located photos.

What you'll see

Saved text on the media record, optional coordinates for maps, and EXIF visible when the file provided it. Portfolio-specific overrides appear only when viewing that collection.

Verifying your setup

  • Global title or caption saved on a test image.
  • Read-only metadata or Set location on map used at least once.
  • You understand portfolio overrides are optional and collection-scoped.
