Events & volunteers for field programs

Field programs need people as much as they need detections: workshop guests, community RSVPs, and volunteer crews. When Events Manager is on your plan, registration belongs there, not in a bolted-on ticketing tool, while Surveys stay responsible for scientific tagging and Portfolio stays responsible for the public story.

Keep the jobs separate

Three tools, three questions

  1. Events Manager

Who registered, who was approved, who checked in. Paid tickets, free RSVP, or volunteer signup. Capacity and review live here.

  2. Surveys & observations

What was detected in the photos. Signup lists are not species records; train staff not to treat the roster as the science table.

  3. Portfolio & Impact Map

What the public sees afterward. Day media can publish with the same privacy judgment as any other field set.

Registration modes that fit conservation

Paid modes cover ticketed skills days and benefit dinners. Free RSVP covers open briefings and trail days. Volunteer signup covers restoration crews and camera-maintenance weekends. For free and volunteer modes, choose auto-confirm or manual review. Manual review helps when slots are limited or you must screen people before sharing a meeting point.

Exact muster coordinates often belong in post-approval email, not on a soft-published map. That is the same privacy instinct as fundraising pages: logistics for trusted attendees, redacted context for the public.

What happens to the photos

Photos from a volunteer day can later be tagged into a survey and shown in a portfolio. The event created the gathering; it did not create the observation. Tagging is a deliberate science step on the media row, the same connective tissue as Field conservation’s two stacks.

That is why the hero splits roster from photos: people attendance and species identity are different records that happen to share a calendar day.

Optional support without forcing a ticket

A free RSVP confirmation is a natural moment to offer a donation without making payment the price of attendance. Cross-link Fundraising for field sites when the day also needs a campaign. Keep map pins redacted if the event page is public.

For how-to registration, sessions, and check-in, use Events and volunteers for conservation and the general Events docs it points to.

Where to go next

Standards and multi-animal observations: Why open standards (Darwin Core). Publishing judgment when day photos go public: Publishing sensitive species. Team roles for coordinators who should skip billing: see Roles and permissions in the customer docs.

Register people. Tag detections. Publish with care.

Use Events for the roster, Surveys for observations, and Portfolio for the story, then hand off to docs for sessions and check-in.
